Five Tips for Booking Hotel Venues

Looking for a property for a wedding can be difficult. If you’ve decided that you want to have your ceremony and/or reception at a hotel- you’re in luck! Most hotels are ready to accommodate weddings and large ceremonies, and in fact are one of the better venue options for weddings. There are, however, so many options and it’s very easy to get overwhelmed. We have a few tips to help guide you through it all, exclusively here on Bridal Hot List.

Define Before you Find

‘Hotel’ is a blanket term, and that covers a whole lot of different types of properties. This can include resorts, beach front properties, historic buildings, and boutiques. A wedding venue should reflect the couple, so narrow your options based on your couple personality. If you’re big readers or trivia buffs, look for a historic property in your nearest downtown area. If you’re laid back and like to relax together, a nice beach-y hotel near the water would make for a beautiful back drop. It can be easy to get wrapped up in going to whatever property is trendy, newest, or even closest, but in the long run you will want to find a place you are proud to tie the knot.

Have a Headcount

Have a ballpark number (within 15 people, max) of how many people will be attending. The more accurate you are with your numbers, the more accurate will be with their numbers. You may want to book the grand ballroom, but you may not be able to fill it. If that’s the case, there’s no point in spending extra money on it. You should also have an idea of how many out of town guests you have coming in who will need a hotel room. Some hotels will be able to work with you to factor in hotel room nights in addition to your wedding area. In dealing with hotels, I’ve found more often than not, bundling hotel rooms in with a meeting space can save you a bit of money.

Follow Up

If you start with looking online, shoot an e-mail to the sales manager saying you’re interested. If you’re going to properties to look around, ask for a business card. It’s smart to start building relationships with hotels as soon as possible to be able to get great rates. Hotel people tend to be loyal to clients they have histories with. If you’ve seen a property before or had a great time, mention it and they will absolutely appreciate a return customer! Plus, having a friend in the hotel business can definitely be beneficial to you. You can ask them for recommendations later on for trips and fun destinations.

Do a Test Run

If you’re in the finalizing process, it could be helpful to ask if you can do a walk-through of the property at the time of your wedding. If the lighting at night is awful, it will probably sway your mind. If the mornings are loud due to commutes or trains or anything else, you’ll want to know before you sign a check. If you can afford to, stay the night and make sure you absolutely love it. You may even be able to get a great discount if you explain that you are strongly considering having a ceremony there!

Negotiate

Rates are not always black and white. If you’re getting ready to draft contracts, work with the salesperson to get your rates as close to your budget as possible. Work with them on bundling to save costs, like having a few friends staying at the same hotel or even booking both the ceremony and reception in the same place. Work with their catering department and see if the property can lump all your expenses together. Little things you can help save you venue money overall. You can even ask for other discounts, such as AAA, student, or anything else you can come up with. Being creative can result in some surprising savings!

Top Three Winter Venue Ideas

Winter is a time of celebrating with family and friends, keeping warm and cuddling by the fire.  Though winter often gets a bad reputation for chilly weather, that doesn’t make it off limits for hosting a wonderful wintery wedding.  There are plenty of ways to have your dream winter wedding but here are our top three favorite ideas for choosing a winter wedding venue.

Estate and Mansion Weddings

Winter is the perfect season for an estate or mansion wedding.  Since the weather outside is cold and dark,  create a warm and inviting haven for your guests.  Candlelight is key in the wintertime.  The warm glow will softly illuminate your space giving it that romantic feel essential for a winter wedding.  An important thing to remember about winter nuptials is that your venue may already be beautifully decorated for the holidays.  Be sure to visit your decorated venue to see what you have to work with.

Break with Convention

Since winter is not the traditional wedding season, why not choose a nontraditional venue? Instead of hosting your day at a hotel or church how about a library? Old stone libraries can provide the same gothic look as a church but in a refreshing new way.  I have also seen weddings at theaters, museums and at the zoo! Treat your guests to something new and different and share in those special memories for years to come.

Christmas in Hawaii?

You Can't Go Wrong With A Private Beach in Hawaii for a Marriage Proposal!

Before you set out venue shopping decide how wintery you want your wedding to be.  Are we talking New England with five feet of snow or 70 degree beach weather in Hawaii?  The great thing about a wedding in the off season is off season prices!  Many vendors offer discounted prices during the winter months and venues are more likely to have a wider selection of available dates.  If you are planning to travel be careful around the holidays since fares increase closer to Christmas and New Years.

Enjoy planning a spectacular winter wedding!

Five Fall Wedding Venues

Summer is over and we have entered a whole new wedding season… Fall Weddings!  It’s the time of year for warm colors, cool nights and savory treats.  We at Bridal Hot List are excited for the trends and festivities of fall and decided to explore some exciting fall venue options!

Vineyard

A vineyard is a beautiful option for a fall wedding.  The leaves are turning vibrant shades of orange, brown, rust, red and every other shade of autumn.  Whether you want an indoor ceremony, outdoor or combination of both most vineyards provide multiple venue options. Have your ceremony just before sunset overlooking gorgeous scenery and providing romantic photo opportunities. Move indoors for the reception, lit by white string lights and sip on the vineyards specialty wines.

Destination Wedding

If you live in an area of the United States whose reputation for fall weather is not ideal, a destination wedding may be the option for you.  Though fall weather is often brisk in the states, in many other parts of the world the weather is still amazing.  Travel to a tropical location for a wedding on the beach or hop over the pond to Europe for a Tuscan villa wedding.  Destination weddings are always an intimate option for couples who want to share the day with their closest family and friends.

Rustic Outdoor/Indoor Wedding

Early fall is the opportune time for rustic weddings.  As the weather cools and the colors change into warmer shades it becomes the perfect setting for a barn or ranch wedding.  Barn and ranch venues are gaining popularity and vintage weddings are on the rise.  Now more than ever vendors are offering vintage furniture rentals and decorative accents like mason jars or vintage candelabras.  Have your wedding in a quaint barn romantically lit by candles.  Add a large vintage chandelier in the center of the reception for that perfect wow factor.

New England

As the seasons change and holidays approach there is no place that embodies the spirit of fall like New England.  If you love fall because of the changing of the leaves and crisp weather, then host your wedding at a lodge in Vermont.  You can also surround yourself in the true fall landscape at a bed and breakfast in Connecticut or at a scenic mountain resort in upstate New York.  The brick and brownstone architecture is stunning and will create a picturesque getaway for your special day.

The Park

Before winter comes and the weather outside is too cold and rainy for an outdoor wedding, take advantage of the last of the warm days and cool nights.  A park is a great outdoor location to have a small and intimate ceremony.  Just before the last leaves fall from the trees, say I do under the multi-colored foliage in the fall breeze.  For example, hold your wedding at a hotel in Yosemite National Park where you are surrounded by amazing landscapes, the epitome of fall beauty.

Live! Your Wedding Day Recap

The Hyatt Regency in Newport Beach recently hosted ‘Live! Your Wedding Day’- the wedding sensory experience. The sensory experience was an all-inclusive event with wedding vendors on site to provide a taste of what they have to offer on your special day. Vendors included florists, musicians, wedding coordinators. Team Bridal Hot List was there on the scene to report.

The day began with a short mock ceremony accompanied by both a four piece string quartet and an acoustic guitar.  The musicians took turns showcasing different takes on classic wedding songs.

The mock ceremony included a couple doing a quick walk through in full wedding day attire. Even though they weren’t a real couple, they looked fantastic together!

raw_1103_std

Following the ceremony, we moved on to a cocktail hour in another reception area the Hyatt Regency in Newport Beach has to offer. The cocktail hour was accompanied by The Marieve Herington Band and a dessert bar provided by the Hyatt Regency in Newport Beach. During this time, several models were on had to showcase trending wedding dress styles.

Lace was a big trend being showcased, as well as beautifully detailed backs. One of my favorite dresses was this short, mod-style wedding dress. The lace and the buttons are a major trend right now, and the detail on this is mesmerizing.

Following the gown showcase were the floral showcases courtesy of Paradise Delight Floral & Event Productions. The arrangements ranged from classic and beautiful to progressive and trendy.

My favorite arrangement was the display of calla lilies in the large flute glasses. The tones of the chevron runner and the flowers were beautiful, and the floating candles made the arrangement perfectly romantic.

This gorgeous reception hall also featured  Undercover Live Entertainment, where they got us dancing, and having a great time. Super high energy and fun!

There was another reception area set up with a DJ, beautiful floral arrangements, and a 3D photobooth. The arrangements here were provided by White Orchid Productions. Simply stunning!

Live! Your Wedding Day was an absolutely amazing experience and incredibly inspiring. Events like this are an excellent resource for newly engaged looking for inspiration. It was great to be able to window shop different wedding looks in all aspects of the wedding. The Hyatt Regency in Newport Beach was incredibly accommodating, as well as a gorgeous location for events.

From Carmen of Expressionary Events

The idea and inspiration came from the designers’ love for the outdoors and romantic picnics. There is a certain allure and serenity of being in the outdoors among the trees and nature. We choose Rancho Las Lomas, a beautiful garden venue that is surrounded by citrus trees, stunning architecture, and exotic wildlife. This venue provides couples with plenty of opportunities to incorporate a rustic chic feel at every corner of the property. The concept was to create a whimsical yet rustic style wedding for brides that want to have a more causal and intimate wedding but may not know how to accomplish the look or feel.

Elements included in the shoot:

  • Different floral patterns as well as wood elements were chosen to complement the outdoor elements in the shoot.
  • Color palette: The main color palette for the shoot consisted of jewel tones such as pink, purples and ivory
  • Bride fashion & jewelry: For the bride, we chose a dress that really tied in the theme all together. The sweetheart neckline and tulle gown made the look very whimsical. Small lace and beaded embellishments creating a romantic feel.
  • Bride  Jewelry:  We kept the look simple with a tear drop necklace, and matching bracelets. The statement piece was the gorgeous Grecian inspired headpiece by AlwaysAri.
  • Grooms Fashion: We kept the Groom very casual in khaki pants,a plaid dress shirt, and suspenders with a faux leather bow tie made by AlwaysAri to complement the ‘Rustic Picnic Theme. Keeping the tie into the romantic elements
  • Bride hair & make-up: The Bride’s makeup was done really soft with pinks and pastels to create a very natural yet whimsical feel. Her hair was half up half down with multiple braids to create the very outdoor and natural look with relaxed curls. Her hair was finished off with a Grecian headpiece fit for any bride looking to make a statement on her wedding day.
  • Flowers & event décor: For the table scape gray and white toned linen was used to blend nicely with the trunk like vase that held jewel toned flowers of pinks and purples. Bamboo place mats were placed underneath a ivory plate and special silverware with garden engraved pictures finished off the table décor. Wine and berries were incorporated to bring in elements of a rustic picnic wedding.
  • Cake: The cake was decorated with rosettes and floral to complement the theme. The cake sat on a special designed cake stand made out of wood and milk glass.  The table was adorned with a knife and server decorated with the same designs as the silverware on the table.

We want couples to get concepts from this shoot and be able to create it for their wedding day. Simply by choosing key statement pieces such as a headpiece or bamboo place mats can really make a difference in make something come to life at your event. Picnics are simple but with the right decor you can always bring elegance to anything.

The All American Bride

The 4th of July is right around the corner, and with wedding season in full swing, it is no surprise that many brides are wondering how to incorporate the Independence Day festivities into their special day. However, if the idea of throwing Old Glory willy-nilly all over your wedding reception makes you want to run for the hills, don’t you worry—we will show you how to add hints of 4th flair without creating a cheesy red, white, and blue festival.

LOCATION:
It can sometimes be difficult to walk the line between cheesy and classy when incorporating a strong theme into your reception. Picking the right location for your big day can be the first step in discovering just how far you can push your theme. For example, an outdoor reception can have more of a vintage Americana feel, while a reception in a hotel ballroom might restrict you in how far you can go with your 4th of July decorations. In other words, allow the “feel” of the venue dictate the “feel” of your theme choices. There is something “American” feeling about an outdoor wedding, whether it’s on a picturesque beach, a beautiful lakeside shore, a rustic barn, or under a tree in your own backyard.

VintageFourthofJuly (1)

DECORATIONS:
The décor will be the most impactful way for you to add some 4th flair. The key is choosing a design aesthetic that is cohesive—the last thing you want is some random flags stuck onto your table and cutouts of fireworks taped onto the walls. A classic “Americana” or Southern shabby-chic vibe fits into a Norman Rockwell aesthetic that is perfect for Independence Day. Think plaid, gingham, old lace, burlap, and rustic wooden signs and crates—easy, comfortable, and effortless beauty. If you want to go with red, white, and blue, keep the colors subdued and distressed, never bright or tacky. Don’t be afraid to mix patterns when it comes to your table decorations—mismatched linens, tableware, and flatware can give it an old, antique feel. It should look like everything came out of an old vintage trunk found in your grandmother’s attic, not like you bought it at a party store. Vintage flags can serve as table markers at the reception, while wildflowers in porcelain and glass vases delicately enhance the table. Stringing paper lanterns and tea lights add a romantic and nostalgic flare.

Adjusted Drink Station

FOOD:
Your food choices can be a fun and creative way to add some irony and humor into your reception. This is your chance to get cheesy! “Dressed-up” comfort food is a fantastic way to keep with your theme. Bacon-wrapped dates, macaroni and cheese, barbecue, gourmet grilled cheese, sliders, popcorn, a mashed potato bar—the list goes on! Cocktail choices range from craft beer to mint juleps, and for non-alcoholic drinks, think retro favorites: Coke served in real Coke bottles, lemonade, sweet tea, root beer. Mason jars are a great way to serve your drinks, but if you are worn-out from the whole Mason jar trend, you can always mix and match old glass bottles and jars. For desserts, caramel apples, cupcakes, and traditional pies are delicious options, while a snow-cone booth is sure to add some fun and quirk to any reception. Having an outdoor reception? Make a s’mores station around a campfire!

FourthofJulySweets

ODDS AND ENDS:
Continue your theme before and after your wedding by having your wedding stationery reflect your Independence Day motif—mixing patterns, using vintage-inspired fonts, and keeping the colors within the subdued color palette from your reception. You can also use the same type of stationery for writing your thank you notes. Wedding favors for your guests could be confetti poppers, sparklers, vintage flags, or even canned preserves from a local farm. Finish off your night with a private fireworks show or by driving off in a classic pick up truck or vintage car.

FourthofJulyPinwheelWindsocks

Finally, it is important to remember why we celebrate the 4th of July, and a great way to do that is by giving back. On your wedding registry, present your guests with the option of donating to a charity of your choice. There are several fantastic organizations that benefit veterans, soldiers, and military families. On your special day, nothing speaks more towards the spirit of the American people than giving back to those who helped us secure our freedom and those who are fighting to keep it intact.

Weddings at The Ritz-Carlton, Kapalua

Today we decided to slip off mainland USA and travel to the quintessential destination wedding location our side of the Pacific: the Hawaiian Islands.  A true tropical paradise, Hawaii is a tantalizing place to say, “I do.” Situated amongst the beautiful beaches and celestial waters of Maui, the Ritz-Carlton Kapalua provides the perfect romantic setting for your dream destination wedding.  The resort offers five truly breathtaking ceremony venues plus three additional reception venues.  There really is something for every couple at the Ritz-Carlton Kapalua.

Just one of the many perks of having your wedding at the Ritz-Carlton Kapalua is the existence of a Wedding Concierge specifically designed to make your special day memorable and as stress-free as possible.  The wedding concierge is available for every event of your wedding to take care of the details you may not have the time or ability to see to yourself.  “Many of our brides tell us that they are more relaxed than they expected with the wedding concierge doing all of the rushing around for them.”  said Mark A. Malone, CMM, CMP, Director of Meetings and Special Events.  Any special requests or additions you’d like to make to your special day, the wedding concierge is there by your side.  The hotel also offers an array of wedding packages suitable for all types of ceremonies.  More information on specific wedding packages can be found on the Ritz-Carlton Kapalua website.

The ceremony venues at the Ritz-Carlton Kapalua are all truly spectacular. With one indoor and four outdoor locations,  there is something to satisfy every bride.  If you desire an indoor ceremony, the Ritz offers the Honolua Chapel.  Once the local church for the community, this plantation style church is perfect for a small ceremony of up to 60 people.  Moving to the outdoor venues, The Gazebo is a sweet, romantic option where the bride, groom and up to 100 guests can celebrate surrounded by palm trees swaying in the gentle island breeze.

If you imagine a large, fantastic wedding with up to 500 guests, the Beach house Lawn is ideal for you with its scenic ocean views great for hosting a  traditional Hawaiian Luau.

The final venue, Lava Point is perfect for the most intimate of couples.  Situated on a cliff top overlooking the crashing waves on the rocks below, Lava Point is designed for intimate and romantic ceremonies of 2 to 4 people.  Say “I do” as the sun is setting over the ocean and share the most intimate of moments with the one you love.

TLC’s Four Weddings Sneak Peek: June 13th

It is Thursday and that means it is time for this week’s sneak peak of “Four Weddings” on TLC. Are you ready?   If you have never seen the show, let me tell you a little about it.  This show features four completely different brides who have never met, and attend each other’s weddings with one wedding being deemed “the winner” at the end. The brides rate the food, dress, venue, originality, and overall experience of each wedding, except for their own. At the end, all the scores of each bride are tallied, and the one with the highest score wins an all expenses paid honeymoon.

TLC

On tonight’s episode the four brides are :  A bride who wants to share her special cake with her guests, a bride who is over the top and wants to “wow” her guests, a bride who goes Southern with a vintage feel, and a bride who adores the purple colored details.  Each of these brides share their unique style and taste on their wedding day. Which bride will be your favorite? Which bride’s detail’s will you like the best? Which dress will stand out the most? What ceremony will be the most touching? Which bride do you think will win? What do I think? You will have to wait until Friday where I will provide a re-cap on this episode. All I can tell you know is that you do not want to miss this episode! Handcuffs and the SuperDome?  What does that mean? Well, you will have to tune in tonight and find out.

TLC’s Four Weddings airs Thursdays at 9/8c. So set your DVR’s, or watch it live tonight!
